If you’re replacing keys with card readers or fobs at your facility, you’ll hit one decision almost immediately: should the system run from a server in your building, or from the cloud? Vendors on each side will tell you the other option is obsolete or risky. Neither is true. Both approaches control the same doors with the same hardware at the edge — the difference is where the management software lives, how you pay for it, and who keeps it running.
We install both types for businesses across Chicagoland, so we don’t have a horse in this race. Here’s how the two actually compare when you strip away the sales pitch.
First, what’s the same either way
Every access control system has the same bones: readers at the doors, electric strikes or maglocks on the frames, door position sensors, request-to-exit devices, and a controller board that decides whether a credential opens a door. All of that gets wired the same way regardless of which software manages it — typically with low-voltage cabling run back to a panel, and increasingly with PoE-powered controllers that sit on your network like any other device. If the wiring is done poorly, no software will save you. That part of the job matters more than the cloud-versus-on-prem debate, and it’s why we treat access control as a structured cabling project first and a software decision second.
How on-prem access control works
With a traditional on-prem system, the management software runs on a server or dedicated appliance inside your building. Your team (or your IT provider) owns the database of users, credentials and door schedules. You buy the software license up front, and the system keeps working whether or not your internet connection does.
Where on-prem shines
- No monthly software fees. After the initial license, you’re not paying per door, per month, forever.
- Everything stays local. Credential data and door events never leave your building — a real requirement in some regulated environments and some manufacturing settings.
- Works offline by design. The full system, including the management side, runs without internet.
- Integration depth. Mature on-prem platforms often integrate tightly with existing alarm panels, elevators and building systems.
Where on-prem hurts
- You own the server. That means Windows updates, database backups, and eventually replacing the hardware it runs on.
- Software updates are on you. Unpatched access control servers are a real security liability, and in small businesses they’re often forgotten the day after install.
- Remote management is clunky. Unlocking a door for a contractor while you’re off-site usually means a VPN or a remote desktop session.
- Scaling to a second site is a project, not a checkbox.
How cloud access control works
Cloud-based systems move the management software to the vendor’s servers. The door controllers in your building still make the open/close decision locally — a good cloud system caches credentials on the controller, so doors keep working during an internet outage. What changes is where you manage it: any browser, any time, from anywhere.
Where cloud shines
- No server to babysit. Updates, backups and security patches happen automatically on the vendor’s side.
- Manage from anywhere. Issue a credential to a new hire, revoke a lost fob, or unlock a door for a delivery from your phone.
- Multi-site is trivial. A second location shows up in the same dashboard — useful if you’re a growing Chicagoland business adding a suburban warehouse to a city office.
- Mobile credentials. Most cloud platforms let employees use their phone as their badge, which ends the lost-fob replacement cycle.
Where cloud hurts
- Subscription pricing. You’ll pay a recurring fee, usually per door or per controller, for as long as you use the system. Over many years, that can pass the cost of an on-prem license.
- Vendor dependence. If the vendor raises prices, changes plans or shuts down, your options are limited — the hardware is often locked to their platform.
- Internet matters more. Doors keep working offline, but you lose remote management and real-time event visibility until the connection is back.
The questions that actually decide it
In our experience the right answer falls out of a handful of practical questions, not a feature comparison chart:
- Who will maintain a server? If the honest answer is “nobody,” cloud wins. An unmaintained on-prem server is worse than either option done properly.
- How often does your staff list change? High turnover or lots of contractors favors cloud — credential changes happen in seconds from anywhere.
- One site or several? Multiple locations, or plans for them, tilt strongly toward cloud.
- Any compliance rules about where data lives? Some contracts and regulated industries effectively require on-prem. Check before you buy, not after.
- How do you prefer to pay? Capital budget favors on-prem; operating budget favors cloud subscriptions.
There are also hybrid platforms that run locally but sync to a cloud dashboard, which can be a sensible middle ground for businesses that want offline independence and remote management.
Don’t skip the infrastructure underneath
Whichever way you go, the system is only as reliable as the network and cabling behind it. PoE door controllers need switch ports with enough power budget, cameras and access control should usually sit on their own VLAN away from office traffic, and every door needs a properly terminated, tested cable run — not a leftover phone wire someone found in the ceiling. If you’re pairing access control with cameras, planning both on the same network installation saves money and headaches, since the same switches, cabling pathways and UPS protect both systems.
One more contractor’s note: doors are life-safety devices. Fail-safe versus fail-secure locking, fire alarm tie-ins and egress requirements are code matters, not preferences. Make sure whoever installs your system understands local code — inspectors in the Chicago area do check.
The bottom line
For most small businesses without dedicated IT staff, cloud access control is the practical choice: no server to maintain, easy remote management, and painless growth. On-prem still earns its place where data must stay local, where internet service is unreliable, or where a long-term cost-of-ownership calculation favors buying over subscribing. Either way, insist on quality wiring, a sensible network design, and an installer who will label and document everything they touch.
