Walk into almost any office in Chicagoland today and you’ll find at least one conference room that everyone quietly avoids. The video freezes, the wireless screen share drops mid-pitch, someone is always crawling under the table looking for an HDMI cable that works. Nine times out of ten, the expensive camera and soundbar aren’t the problem. The room was never cabled properly in the first place.

Hybrid meetings are now a permanent part of how businesses operate, and a conference room is really a small AV-over-IP system: cameras, microphones, displays, touch panels and room-scheduling screens, most of it riding on ordinary network cabling. Get the cabling right during the buildout and the room just works. Get it wrong and no amount of new gear fixes it. Here’s what we look at when we cable a meeting space.

What actually lives on the network in a modern meeting room

A decade ago a conference room needed one data jack and a phone line. A current hybrid room typically needs network connections for far more:

Count it up and a single well-equipped room can easily consume six to ten cable runs. The most common mistake we see in office buildouts is pulling one or two drops to a meeting room because that’s what the old floor plan had, then discovering during AV install that half the equipment has nowhere to plug in.

Why hybrid rooms should be wired, not wireless

Wi-Fi is fine for laptops in the room. It is a poor choice for the room system itself. A video call is real-time traffic: it doesn’t buffer, and every dropout is visible and audible to everyone on the far end. A wired connection gives the codec a consistent, low-latency path that doesn’t compete with every phone and laptop in the building. It also removes the classic failure where the room system silently hops to a guest network after a reboot and nothing works on Monday morning.

Wired drops also let you power devices over the cabling itself. Touch panels, scheduling displays, network cameras and many ceiling microphones are PoE devices, which means no electrician needed at each device location and everything stays up if you back the PoE switch with a UPS. Cabling the room: what to run and where

To the table

Plan a floor box or table box with at least two data jacks, power, and any HDMI pass-through you need for hard-wired presenting. The mistake to avoid is a bare cord poking through a grommet with no service loop — furniture moves, and a run terminated with zero slack gets damaged or comes up short. In new buildouts we rough-in conduit from the nearest wall to the table location so the runs are protected and replaceable.

To the display wall

Behind the display, plan power plus two to four data drops: one for the display or codec, one for a wireless-present device, and spares, because this is the one wall you really don’t want to re-open later. Recess everything so the display mounts flush.

To the ceiling

Ceiling microphones, network cameras and (in larger rooms) wireless access points all need drops above the ceiling grid. These runs must be plenum-rated where they cross air-handling spaces, and they should be supported on J-hooks or trays like any other horizontal cabling — not draped over the grid. Category choice

Cat6 handles nearly everything in a meeting room today. We generally recommend Cat6a for new construction because it comfortably carries 10 Gb, handles PoE heat better in bundles, and the labor cost is identical — pulling cable twice is where the real money goes. HDMI over long distances is its own problem: past roughly 25 feet, plan on an HDBaseT or AV-over-IP extender pair, which again rides on category cable, so pull those runs at the same time.

The network side: more than just patching it in

Once the cabling is in, a few network decisions make the difference between a room that’s solid and one that’s flaky:

None of this is exotic, but it needs to be decided before the AV integrator shows up expecting working jacks with the right configuration behind them. On projects where we handle the network setup along with the cabling, we coordinate directly with the AV vendor so the room comes up working on day one instead of after three rounds of finger-pointing.

Sequencing it with your buildout

If you’re building out or renovating office space, conference room cabling belongs in the same rough-in phase as the rest of your structured cabling — while walls are open and ceilings are accessible. Retrofitting a floor box under an existing conference table in a finished space can cost more than cabling the entire room would have during construction. Give the AV plan to your cabling contractor early, even if you haven’t picked the exact video system: the drop counts and locations are similar across Teams, Zoom and Cisco rooms, so the cabling can be roughed in before the gear decision is final.

And label everything. A rack full of unlabeled room drops turns every future AV service call into an hour of toning cables. Every run should be tested, labeled at both ends, and documented on the as-built — the same standard we hold for any horizontal cabling.

The bottom line

A hybrid meeting room is only as reliable as the cabling behind it. Plan six to ten drops per room rather than one or two, wire the room system instead of trusting Wi-Fi, use PoE to simplify power, and make the network decisions — VLANs, QoS, PoE budget — before the first meeting, not after the first failure. Whether it’s one huddle room or a whole floor of meeting spaces across a Chicagoland office, the cabling phase is where a hybrid room is won or lost.
